Examples of Business Processes and Systems

This post will focus on Examples of Business Processes and Systems, on the back of my previous post on What is the difference between Processes and Systems.

As you now know, processes are the step-by-step actions of how you do things in your spiritual business, and systems are the tools you use to do those processes.

There are so many different types of businesses, that have relational and specific processes. I’m going to outline broad examples of what business processes and systems may look like for certain areas in a business.

These examples may help you think about the processes in your own spiritual or natural therapy business.

Examples of Business Processes

Lead Generation

This is the process you may take to gather new subscribers or potential clients and perhaps respond to their enquiry. Here is an example process:

A new user completes your website form online > their details are captured in your database or preferred marketing system + you automatically receive an email for the new ‘lead’ with all the details of the form that was submitted > they receive an automatic email in response (from your system) confirming that you have received their enquiry > you (or a delegated team member) review + respond to the enquiry.

There would be other steps and scenarios that would play on the back of this lead generation example (i.e. specifics for appointment bookings etc.), but it is an overview.

Client Onboarding

This is the process you may take to promote a lead (enquiry) into your business as a new client, or other. Here is an example process:

Select, create and send proposal (from your marketing system) > receive approval > send a contract with terms and conditions > receive sign-off > send an invoice to get started > receive payment > get started

I’ll cover this in another post, but automated tasks – like the process sequence above – can drastically reduce time and financial equivalent by automagically doing the tasks based on triggers.

Employee Onboarding 

This is the process you may take to onboard a new team member (as you scale). Here is an example process:

Write a job ad > post to a job site (like Seek) or other, e.g. Facebook > obtain responses + resumes > review resumes > (you or another team member) respond and set up interviews > attend interviews > consider candidates > decide on candidate > present offer > receive acceptance > set-up employee in system > prepare forms for completion in preparation of start (tax, super, bank details etc.) > prepare onboarding checklist in advance of start date (workplace introductions, workplace safety briefing, ‘get to know the company’ briefing, access to systems to do tasks/job, provide access to SOPs for step-by-step on how to do tasks).

Again, there are triggers that can be done with the employee onboarding but it is a more laborious task – but finding the right person to help you and your spiritual business will be worth it!

Social Media Marketing

This is the process you may take to create social media designs and promote them for marketing purposes. Again, each business and purpose is different:

Create social media marketing plan > create graphics > download graphics > create content > upload graphics and content > schedule posts

Obviously, there are many other areas of the business that requires processes to be detailed, e.g. finance, email marketing, program management and any other areas like order fulfilment etc., but the above just gives a real sense of processes.

Using the above processes, I outline some examples that may help you think about the way systems can drive the processes in your own spiritual or natural therapy business. There are so many systems available, and combinations, that this is a more intensive part but can be fun once you clearly see and put in place the framework.

Examples of Business Systems

Lead Generation

These are systems you may use for the process, as an example:

WordPress: a new user completes your website form online >

Dubsado: details are captured in (nominated) program/system > you receive an (automated) email with all the details of the form that was submitted > the submitter receives an automatic email to say that you’ve received their enquiry and you’ll respond in due course >

Outlook (using Office365) or via Dubsado directly: you (or a delegated team member) responds to the enquiry.

Note: you may not use WordPress, you may use Wix or Squarespace – and that’s all good. But again, this is purely an example exercise so you can get ideas.

Client Onboarding

These are the systems you may use for the process, as an example:

Dubsado: either using a process to promote a lead enquiry to a client or create a new client from a different source and then proceed to do the following: select, create and send proposal > receive sign-off >

Dubsado automatically: sends contract with terms and conditions > system receives sign-off >

Dubsado automatically: sends an invoice for payment > client pays the invoice and you receive payment > you can now get started.

Employee Onboarding

These are the systems you may use for the process, for example:

Seek: upload job description and post job ad > obtain resumes > review resumes >

Seek or Outlook (using Office365): respond and set up interviews > attend interviews > consider candidates > decide on candidate > present offer > receive acceptance >

System depends on your specific needs: set up employee in system > prepare forms for completion in preparation of start (tax, super, bank details etc.) >

Trainual or own document using my SOP template: prepare material in advance of start date (workplace introductions, workplace safety briefing, ‘get to know the company’ briefing, access to systems to do tasks/job, provide access to SOP for step-by-step on how to do tasks)

Social Media Marketing

These are the systems you may use for the process, for example:

Create social media marketing plan > Canva: create graphics > download graphics > create content > Facebook Business Suite: upload graphics and content > schedule posts.
